What is the Warehouses Settings page for?

The Warehouse page is subdivided into several topics, in each one of them is filled with important information about the Warehouse and its whereabouts.

On this page, users can:

  • check the Warehouse address and details

  • update each product inventory

  • set the shipping methods used by this fulfilment centre

  • set the countries where the products are shipped to

Below are described of each section, the option, and features available, and how to best use them.

Where the Warehouses Settings page is located?

In order to create a new warehouse, please follow the below steps.

  1. Log into CRM and go to the left-side menu

  2. Scroll down and click on the Warehouse Management

  3. Then hit Warehouses, from this page please follow one of the below topics depending on what you need, o else to create a new warehouse or edit an existing one

How to create and set up a new warehouse

To create a new warehouse, from the Warehouses page, click on the + Create New button, users are redirected to the Warehouse Settings page where they can set up a new Warehouse

How to edit an existing warehouse

In order to edit an existing warehouse, please follow the below instructions.

  1. From the Warehouses page, type in the search bar the name of the Warehouse you are looking for

  2. To go to the Warehouse Setting page to edit it, users can:
    a. Select the Warehouse name


    b. Go to the right side of the page and click on the Edit button

  3. Once on the Warehouse Settings page, the user can update the information requested and this will be automatically saved.

Please find attached below the list of features available on this page for each section.

Warehouses

The first thing to do when setting up a new Warehouse is to fill in the Warehouse address, at the top of the page, and click on Update This Information Create a New Warehouse button.

It’s crucial to include the Warehouse priority and address for a couple of reasons:

  1. There is a rule, which is based on the warehouse Priority that assigned orders to be fulfilled to the warehouse with the highest priority first. The scale is going goes from Priority 1, which is the highest priority, to 9, the lowest one. Warehouses that are set up with Priority one, are the ones to be first chosen to fulfil an order. The user himself/herself can set the priority by using the related Priority field, called priority.

  2. An additional rule is applied by the system in order to decide in to which warehouse the order has to be first sent to be fulfilled. The system will have all information to fulfil orders by the supplier-proximity rule. According to this rule, the system will use the customer’s shipping address and send the order to be fulfilled to the nearest Warehouse where the item is in stock.

  3. The system will use the customer’s shipping address to correctly calculate taxes. For more information, on how to set up taxes in the CRM campaign and how taxes are calculated.

Toggles

Please find attached below the information regarding what each toggle does.

1. The Is Active? Toggle

Therefore, to activate the Warehouse, by switching to ON the toggle Is Active?

2. The Keep Tracking? toggle

When this toggle is set to ON, CRM receives order tracking numbers. With this feature, users can see and check the order tracking number, when it is available (see example below), in the Shipping History section:

By deactivating the Warehouse, new orders will not be sent there to be fulfilled, but the orders that were previously sent will still be fulfilled, and having the toggle Keep Tracking? ON, it’s going to let the Warehouse keeps notifying CRM about the fulfilment status of those orders.

3. The Calculate warehouse distance toggle

Tip

By default all warehouses have this toggle set to ON

  1. Priority

  2. Distance

  3. Quantity Available - Buffer Quantity - Quantity Reserved Pre-Sale (take the warehouse with more quantity available first)

4. The Keep Conciliation? toggle

When this toggle is set to ON, CRM is automatically notified every 12 hours by the warehouse, about the level of stock of each product. Consequently, the user can easily spot the products' availability, by checking the topic Product (see the below example)

5. The Allow Marketplace toggle

Note

This toggle is working ONLY for the Amazon Warehouse, even though it is visible in all other Warehouses Settings page.

The system is able to pull the full amount of stock of the Amazon products, not just in the Amazon warehouse itself, but in the other warehouses that where they kept them.

Please note that on the non-Amazon warehouses, the user needs to include the specific Amazon SKU on the list of products available on it.

Please note that the toggle Allow Marketplace and the Marketplace Warehouses area don't have any relationship with the CRM section, called Marketplaces.

The Allow Marketplace toggle is using the Fulfillment by Amazon (FBA) program

With the FBA program, eManage CRM is also employing Amazon Warehouses (Amazon fulfillment fulfilment chain) to fulfill DFO orders.

The Marketplaces section is using the Fulfillment by Merchant (FBM) program

With the FBM program, eManage CRM stores and ships orders created in a Marketplace, such as Amazon, Shopify, or Walmart.

6. The Use Only Assigned Shipping Countries For Fifty Percent Rule? toggle

There is a fulfilment rule in CRM called the 50% Rule. According to this rule, orders are processed if:

  • More than 50% of the order items are in stock at the Warehouse.
    For example, an order has 5 units of earpods on it. By applying the 50% Rule, this order is fulfilled ONLY if at least 3 units of earpods are available to be shipped, in one package. Then a second package will be sent, once the rest of the items are in stock.

  • Or the SKU is in the exception list and with inventory available.

However, to ship an order following this rule, the system has to take into care a couple of more requirements:

  1. The delivery country is the US, CA or MX

  2. And the warehouse is in the US or CA.

Please note that this rule is applied to orders unless different options are configured at the Warehouse level.

Being said all the above, by turning ON the toggle Use Only Assigned Shipping Countries For Fifty Percent Rule? means that by processing orders applying the 50% rule, the Warehouse will not consider the requirement that the delivery country should be: the US, CA or MX.
Instead, the Warehouse will ship orders to the countries already set up in the Common Countries section of the Warehouse Settings page.

Example

  • At the Warehouse, there is more than 50% of the items of the order in stock

  • The Warehouse is located in Canada

  • In the Common Countries section, it is selected only Canada, which means that the Warehouse delivers orders ONLY to Canada

  • The Use Only Assigned Shipping Countries For Fifty Percent Rule? toggle is switched to ON

Result

The Warehouse will process ONLY orders that:

  • The shipping address is in Canada

  • The more than 50% of the goods of the orders are available in stock at the warehouse.

7. The Use Warehouse Shipping Methods For Common Orders? toggle

  • Please note that this toggle is working ONLY with: -

    • Warehouses that use Cart Rover and 3PLs

    -
    • Normal orders (no Marketplace orders, for which this option is already the default one).

  • For any other warehouse, even if the toggle is switched to ON, the rule won’t be applied.

To set up specific shipping methods for the warehouse, just scroll down the warehouse settings page, up to the Shipping Methods section, and make the changes as needed.

8. The Process only backorders? toggle

When the flag is set to ON means that the Warehouse will exclusively fulfil orders in Backorder status.

Contacts List

In this section, users can add the Warehouse Warehouse’s main contact(s), by clicking on the Add New button

Common Countries

In this section, the user must add all the countries to which the orders are shipped to. .

Please note that if the country is not included, the orders will go to Backorders status, even if the product is in stock.

Add | Edit the Common Countries

To add or edit your list of countries, please click on the Please Select a Country button

  • If you type the continent on the Search bar, it will pop up below all countries located in that specific continent. Additionally, by clicking on the name of the continent, the system will automatically select all countries listed on it

Once finished, just click on Done and the countries will be all filed below

Battery Countries

In this section, the user can select the countries where the products with batteries are not allowed so the Warehouse will not fulfil orders with those products to be delivered to them.

Those countries can be easily picked by:

  • Going to the Products section of the Warehouse Settings page

  • Hitting the Update SKU Country List button

  • Click on theUpdate button
