Reason Codes


What is the Reason Codes section about?

In the Reason Codes section users can set up and create new reasons codes for refunds, tickets (emails in the Tickets Management section), Reships, Returns, Quick Cancellations responses, and Cancellation reasons.

Where is the Reason Codes section located?

  1. Log into CRM and go to the left-side menu

  2. Scroll the menu down to the System Settings

  3. Then click on Reason Codes.

What is on the Reason Codes page?

Please find attached below the features available on the page.

The Search Filed & Drop Down menu

By clicking the search, the user can see all the sections for which the reason code can be created

Refresh button

By clicking on this button, the search will be updated

Active column

In this column is shown whether the reason code is active or not. Users can switch to OFF or ON the reason code by clicking on the toggle

How to create new Reason Codes

In order to create a new reason code, please follow the below steps.

  1. Go to the right side of the table and click on the + Create New button so the New Reason Code tab will pop up

  2. Select the section where the reason code will be used, by choosing within the ones listed on the drop-down menu

  3. On the Name field, type the description of the reason code that will be displayed for the user in the section where is going to be available

  4. Leave the checkbox Active as it is

  5. Click on the Add button to save it

  6. All the reason codes created are listed on the Reason Codes main page (see the below example)

How to edit Reason Codes

In order to edit a reason code, please follow the below instructions.

  1. Select the section of the reason code from the search field

  2. Go to the right side of the page and click on the Edit button, so the Update Reason Code tab will pop up

  3. From the Update Reason Code tab, the user can change the name/description of the code and activate or deactivate it

How to delete Reason Codes

In order to delete a reason code, please follow the below instructions.

  1. Select the section of the reason code from the search field

  2. Go to the right side of the page and click on the Delete button, to remove the code from the system
