Inventory


What is the Inventory section for?

In this section, users can check the inventory of each SKU or product in each Warehouse where this should be available.

Where is the Inventory section located?

To find this section, follow the below steps.

  1. Log into CRM and go to the left-side menu

  2. Scroll down and click on the Warehouse Management

  3. Then click on Inventory.

What is on the Inventory page

Please follow the below topics to find out what each option on the Inventory page is for.

Warehouses field

By clicking on this field, the users can filter their search by Warehouse, selecting which warehouse from the drop-down menu (see image below)

Products field

By using this field, users can check the inventory of a specific product across all active warehouse in the instance

Shipping Countries field

With this field, users can narrow the search for products inventory based on the country. All warehouses and their products available in the country selected will be listed in the below table

SKU field

In this field, users need to type the specific SKU of the product of which they are seeking information about its inventory

The Sync Inventory button

By selecting the Sync Inventory button

users are requesting an update of the stock of the product(s) to warehouses (see below example):

This update in real-time is possible ONLY for those Warehouses that have the Keep Conciliation? toggle set to ON.

The Warehouse Inventory button & the Warehouse Inventory tab

This button is visible ONLY when users filter their search using by Warehouse

By clicking this button, the warehouse Inventory tab will pop up, showing the list of products configured for the Warehouse and their stock (see below image example)

On the Warehouse Inventory tab are available for the user to check the following information on each column.

  • SKU: the SKU of the product

  • Product: the name of the product

  • Warehouse Stock: this stock information is for the user, who can verify the stock level of each SKU. Once the tab is opened, the system automatically requests this information, via API, to the Warehouse.

  • Stock Quantity: the system uses this information about the stock quantity of a SKU in order to assign orders to the Warehouse (if available) to be fulfilled.
    Generally, this data is updated every 24 hours if the Warehouse has the automatic conciliation active, which implies having set to ON the toggle Keep conciliation?.
    However, every two hours the system checks, if there are new orders and reships requests and then verifies and updates (if the automatic stock conciliation is active) the products stock of the active Warehouses in order to assign these new orders and reships to the one that has the specific product/SKU in stock.

On the Warehouse Settings page, on the Products section, the quantity reported for each SKU is the Stock Quantity.

  • Transit Quantity: the quantity that is sent from one warehouse to the other when there is a lack of one or a few or some of the products

  • Reserved New: on this column, the user can spot the number of new fulfillment that has been assigned to a Warehouse, shortly the details of the new fulfillment will be sent to the warehouse that is going to fulfill them. Basically, in this column are included all orders that have on the Shipping History section, of the order page, the Status New (1) as per below example:

  • Reserved Sent: The number of fulfillment sent to the Warehouse within the past 7 days.
    Thus, this column includes all orders that have status Sent (2)


    or Waiting for Tracking Number (7) in the Shipping History section of the order page.

  • Reserved: in this column is shown the sum of the Reserved New + Reserved Sent.

The Search & Clear Search buttons

 

These two buttons are to:

  • Search, which means that once the filter has been added, by hitting the search button the system will bring to the below table the search requested by the user

  • Clear the Search, which in other words will clear the filter already filled for the search, so the user can make a difference search

The Inventory table

The Inventory table has 8 columns showing relevant information about the stock of a product in the Warehouses where it is available.

Please find attached below what each column name refers to.

WH Name

The name of the Warehouse will be displayed in this column

Product

The name of the product will be displayed in this column

SKU

The SKU will be shown in this column

Stock Quantity

The stock quantity of each product, or SKU, will appear in this column

When a product is out of stock or reached the the minimum acceptable level, the row is highlighted on the Stock Quantity is shown an alert icon

Reserved Now

The amount of products units reserved by customers

Reserved Sent

The amount of products units reserved by customers and already sent

Reserved

The amount of products units reserved by customers

Total

In this column is shown the total Stock quantity of a product in a specific warehouse, also including the amount of product that has been reserved
